Privacy, in plain language.

ezWorka handles business data with bounded access, reviewable workflows, and explicit customer control. This draft policy explains what we process, why, your POPIA rights, and how to reach us or the Information Regulator.

This page is a public privacy policy draft for website visitors and prospective customers. It is written to align with the Protection of Personal Information Act, 2013 (POPIA), but it is not legal advice.

Who we are and how to reach us

ezWorka ("we", "us") operates the ezworka.com website and the ezWorka AI-worka platform for the South African market. For any privacy question, request, or complaint, contact us at info@ezworka.com. We aim to respond within one business day and to resolve formal requests within the timelines POPIA requires.

The registered legal entity, physical address, and information officer details will be published here on commercial launch.

What personal information we process

Depending on how you use ezWorka, we may process: account details (name, email address, company); billing and subscription records; workspace settings and connected-tool metadata; task instructions and business content you choose to connect or upload; generated drafts and review notes; support messages; and technical logs (such as IP address, device, and usage events) needed to run and secure the service.

The exact data depends on which worka you hire and which tools you choose to connect. Connect only the systems and records the approved workflow needs.

Why we process it (purposes and lawful basis)

We process personal information to provide the worka workflows you request, to administer accounts and billing, to secure and troubleshoot the service, to meet legal obligations, and - only with your consent - to send electronic direct marketing. We do not sell personal information, and we do not use customer business content to make public claims without permission.

Direct marketing and consent

Under section 69 of POPIA, we only send electronic direct marketing (such as product emails) to prospective customers who have given consent. Our forms never use pre-ticked boxes: if you want marketing follow-up, you tick the box yourself.

Every marketing message we send will identify us and include a working unsubscribe route. You can withdraw consent at any time by using that route or emailing info@ezworka.com - withdrawal is free and takes effect promptly.

Your rights under POPIA

As a data subject you may, at any time:

  • ask whether we hold personal information about you, and request a copy;
  • ask us to correct or update inaccurate or incomplete information;
  • ask us to delete or destroy personal information we are not entitled to keep;
  • object to processing, including for direct marketing;
  • withdraw consent you previously gave; and
  • lodge a complaint with the Information Regulator.

Security safeguards and breach notification

We apply reasonable technical and organisational safeguards appropriate to the risk: encrypted transport, scoped credentials, least-needed tool access per worka, and human approval gates on sensitive actions. Credentials are never to be shared in chat or public channels.

If we have reasonable grounds to believe personal information has been accessed or acquired by an unauthorised person, we commit to notifying the Information Regulator and affected data subjects as soon as reasonably possible, as section 22 of POPIA requires, with enough detail for you to protect yourself.

Operators, sharing, and cross-border transfers

We use vetted service providers (operators) to run parts of the platform - for example hosting, email delivery, payments, and the AI-assistant platforms you choose to connect (such as ChatGPT or Claude front doors). Operators process personal information under contract, only on our instructions, and must protect it.

Where an operator stores data outside South Africa, we only transfer personal information as POPIA section 72 allows - to recipients bound by laws, contracts, or binding rules that provide substantially similar protection, or with your consent.

Retention and deletion

We keep personal information only as long as needed for the purposes above, for legitimate business records, or as law requires (for example tax and billing records). When a retention period ends, we delete, destroy, or de-identify the information. You may request deletion or export at info@ezworka.com.

Changes to this policy

We will update this page as the platform develops and will mark material changes clearly. The date of the last revision and the version history will be published here from commercial launch.
